Office Manager (Chicago, USA)

NPB and Canline are seeking an Office Manager who will get a thrill from being part of a fast-growing global group that’s bringing its expertise in industrial automation to North America.  Most likely, their machines are being used in producing the Coca Cola products you enjoy. NPB and Canline (part of the XANO Group) develop, manufacture, and sell world class machinery to the global packaging industry—always with their customers’ best interest at heart, creating manufacturing efficiencies while reducing maintenance needs.  With operations all over the world, NPB was founded in Jönköping, Sweden and Canline in Eersel, the Netherlands. This position is based in Chicago where the companies are setting up their joint brand-new office to serve clients across North America. 

About the position

As Office Manager you will play a pivotal role for NPB and Canline’s newly formed US team. Your everyday mission will be to look after their office, manage administration and bookkeeping, and support field staff. We expect you to bring your bookkeeping knowhow and passion for office administration excellence while taking pride in contributing to the continued business and operational success.  You need to be comfortable running a small office and enjoy wearing many different hats. Your proven track record of meeting goals and deliverables, while being resourceful and great at time management will be keys to your success in this role.  You’ll report directly to the financial managers for NPB and Canline in Sweden and the Netherlands.

What You’ll Be Doing…more specifically

Manage all office administrative aspects to include:

  • Setting up office ensuring that the environment upholds the brand, culture and experience for everyone who works at or visits the office
  • Oversee IT infrastructure and software tools
  • Provide daily support to field staff including scheduling, managing multiple calendars, and coordinating travel arrangements
  • Monitor and field inquiries from customers (via phone and email)
  • Build and maintain strong external relationship with banks, insurance companies and legal support
  • Help onboard and setup new hires

Bookkeeping, reporting, and compliance:

  • Oversee and ensure efficiency of third-party vendor for payroll, accounts payables and receivables
  • Comply with local, state and federal government reporting requirements and tax returns
  • Assist w/ budgeting and financial reporting to the two mother companies in Europe

Manage office events including:

  • Coordinate office wide meetings incl. social functions and gatherings
  • Conference room management including tech setup of presentation equipment
  • Plan and coordinate client office visits and events

Your Work Area, Work Experience & Education:

  • Based in Chicago
  • BS/BA Degree in business administration or related field of study
  • 8+ years of office management experience in a fast-paced environment
  • Solid bookkeeping and reporting experience
  • Experience with scheduling and managing multiple calendars in Outlook while coordinating between different time zones and locations
  • Proficiency in MS Office 365 Suite (Microsoft Word, Excel, PowerPoint, Outlook, Teams)
  • International experience is a plus
